What data do we process, and for what purposes?
We process the data you have provided as part of your application to assess your suitability for the position (or any other open positions within our company) and to carry out the application process.
What is the legal basis for this?
The primary legal basis for processing your personal data in this application process is Article 6(1)(b) of the GDPR. This permits the processing of data necessary for deciding on the establishment of an employment relationship.
If your data is required after the application process for legal claims, processing may take place based on Article 6 of the GDPR, particularly in accordance with our legitimate interests as per Article 6(1)(f) GDPR. Our interest in such cases lies in asserting or defending claims.

How long is the data stored?
In the event of a rejection, applicant data is deleted after six months.
If you have consented to further storage of your personal data, we will include your information in our applicant pool. These records will be deleted after two years.
If you are offered a position, the data from the applicant system will be transferred to our employee information system.
Who receives the data?
We use a specialized service provider for the application process. This provider acts as a data processor on our behalf and may gain access to your personal data in the course of providing its services, such as system maintenance and support. We have signed the necessary data protection agreements with this provider to ensure that data processing complies with legal requirements.
Once your application is received, our HR department reviews it. Suitable applications are forwarded internally to the responsible department heads for the relevant position. They then coordinate the next steps. Within the company, only those individuals who need access to your data for the proper execution of the application process will have access to it.
Where is the data processed?
Your data is processed exclusively in data centers located in Germany.
Your rights as a data subject

If your request for information is not made in writing, we may require proof of identity to ensure that you are the person you claim to be.

Softgarden analyzes and processes uploaded documents to extract résumé data. This is done within softgarden’s infrastructure, with no transfer of data to third parties. The legal basis for this is Article 6(1)(b) GDPR. If special categories of personal data (such as health data) are processed under Article 9 GDPR, the legal basis is Section 26(3) BDSG or Article 9(2)(b) in conjunction with Article 6(1)(b) GDPR.
During the application process, you have the option to create an account in softgarden’s career portal, allowing you to view and manage your application. To set up an account, you will receive an automatically generated email. You can access your account at https://softgarden.com/en/ by logging in with your credentials. Creating an account is entirely optional and not required to apply to Sport-Thieme.
